Privacy Policy
What we collect when you ask for a quote, why we need it, who sees it and how long we keep it. Written to be read rather than skipped.
We keep very little. There is no database behind this website, no customer accounts, no tracking cookies and no marketing lists. When you ask for a quote, the details reach us as an email and are used to quote for and carry out the work you have asked about — nothing else.
This page sets that out properly. If anything is unclear, ring us on 07386 556242 and ask. Our terms and conditions cover the work itself.
Who we are
This website is operated by West London Garden Rescue, a garden clearance, maintenance and landscaping business based in Uxbridge, West London. For the purposes of UK data protection law we are the data controller for the personal information described in this policy.

What information we collect
We only collect what we need in order to quote for and carry out garden work. If you submit the quote form on this website, that is:
- Your name
- Your contact telephone number
- Your postcode
- Your email address, if you choose to provide one (it is optional)
- The approximate size of your garden and which services you need
- Your preferred timeframe, if you tell us
- Any additional details you type into the message field
If you contact us by telephone, WhatsApp or email instead, we hold whatever information you choose to give us in that conversation — typically your name, number, address and a description of the work, plus any photographs of your garden you send us.
We do not ask for and do not want payment card details through this website. Payment is taken on completion by bank transfer or cash.
How we use your information
We use the information you give us in order to:
- Prepare and send you a quote for the work you have asked about
- Contact you to discuss the job, arrange access and agree a date
- Carry out the work and deal with anything arising afterwards
- Send you an invoice and keep records required for tax purposes
- Provide waste transfer documentation where you have asked for it
We do not add you to a marketing list, we do not send newsletters, and we do not use your details to advertise to you. If you get a quote and decide not to proceed, we will not chase you.
Our legal basis for processing
Under the UK GDPR we must have a lawful basis for using your personal information. Ours are:
- Legitimate interests — responding to an enquiry you have made and quoting for work you have asked about.
- Performance of a contract — where you have accepted a quote, using your details to carry out and invoice for the work.
- Legal obligation — retaining invoicing and waste transfer records for the periods required by tax and environmental law.
How the quote form works
There is no database behind this website and no customer accounts. Your enquiry is not stored on the website itself: it passes through and is delivered to us as an email.
When you submit the quote form, the details go to a small piece of server code that runs where this site is hosted (Vercel). That code checks the details are complete, then hands them to Resend, an email delivery service, which formats them into an email and delivers it to our business inbox. If you gave an email address, Resend also sends you a short confirmation that we have received your request. Both companies act as data processors on our behalf and use your details for nothing else. Resend keeps a delivery record for a limited period so that failed sends can be diagnosed; its privacy policy is at resend.com/legal/privacy-policy.
To protect the form from abuse, the server briefly holds the internet address (IP address) each submission came from — for no longer than a minute, in memory, and never alongside your name or details.
Once the email reaches us, your enquiry lives in our email account like any other message. If you would rather not use the form at all, calling or sending a WhatsApp message reaches us just as well.
Photographs of your garden
We usually take before-and-after photographs of the work, because they are the most useful record of what was done and they help us quote similar jobs accurately.
We will not publish a photograph of your garden on this website, on social media or in any advertising without asking you first. If you have previously agreed and later change your mind, tell us and we will remove it. Photographs are of the garden itself — we do not photograph people, vehicles, house numbers or anything through windows.
How long we keep it
- Enquiries that do not lead to work: kept for up to 12 months, in case you come back to us, then deleted.
- Customer records for completed jobs: kept for 6 years after the end of the relevant tax year, as required for tax purposes.
- Waste transfer notes: kept for a minimum of 2 years, as required by waste duty-of-care rules.
- Job photographs: kept while they remain useful as a work record, and deleted on request.
Your rights
Under UK data protection law you have the right to ask us for a copy of the personal information we hold about you, to have inaccurate information corrected, to have information erased where we no longer need it, to restrict or object to how we use it, and to ask for it in a portable format.
To exercise any of these, just contact us — there is no form to fill in and no charge. We will respond within one month.
If you are unhappy with how we have handled your information, you can complain to the Information Commissioner’s Office at ico.org.uk, though we would appreciate the chance to put it right first.
Changes to this policy
If we change how we handle personal information — for example by changing the form provider or adding analytics — we will update this page and change the “last updated” date shown alongside it.
